GuideThe best interview scheduling software for enterprise teams
Contents

Disclosure
ModernLoop publishes this guide. Here is how we kept it fair.
- Every statement about another tool comes from that vendor’s own website or help center, with the date we checked it. Sources are listed at the end.
- Every tool gets real limitations, ModernLoop included.
- We never mark a capability as missing. If we couldn’t find it on a vendor’s site, we say “not listed” or “not described” and give the date.
- ModernLoop is listed first because it’s our product. The other tools follow by category.
- We review the page every quarter and log what changed.
Short answer
The best interview scheduling software for an enterprise team works with your ATS at the depth you need, builds panels from trained interviewers, respects interviewer load and passes your security review. For complex loops, compare ModernLoop, GoodTime and Candidate.fyi. Paradox fits frontline hiring by text, Calendly fits one-on-one screens, and Greenhouse or Ashby customers can start with built-in scheduling.
How we evaluated interview scheduling software
We read each vendor’s website, integrations page, pricing page and public help center between October 16 and October 22, 2026, and assessed what they publish against seven criteria that matter to enterprise recruiting teams. A capability counts only if the vendor documents it publicly.
We didn’t run hands-on trials of competitors’ products, so we don’t publish numeric scores for them. A vendor scoring its rivals is marking its own homework. Instead, every tool gets a verdict, and you can use the weights below to score your own shortlist after demos.
| Criterion | Weight | What we looked for |
|---|---|---|
| ATS integration depth | 20% | Which ATSs the vendor lists, and whether a stage change in the ATS can start scheduling |
| Complex loops and panels | 20% | Panels, multi-interview loops and multi-day schedules built from interviewer pools |
| Interviewer load and training | 15% | Load limits or load balancing; shadow and reverse-shadow training |
| Candidate experience | 15% | Self-scheduling, one itinerary or portal, consistent video links, reminders |
| Security and access | 15% | SOC 2 and ISO reports, SSO, SCIM user provisioning |
| Coordinator workflow and reporting | 10% | Request queues, rescheduling and replacements, scheduling dashboards |
| Pricing transparency | 5% | Whether the pricing model is published and what drives the quote |
Reweight for your team: frontline hiring might put candidate messaging first, while five-interview engineering loops put panels, load and training first.
The best interview scheduling software, tool by tool
Seven options in four groups: dedicated scheduling tools, a conversational platform for frontline roles, a scheduling-link tool, and the scheduling built into two partner ATSs.
1. ModernLoop
Type: dedicated interview scheduling. Best for: enterprise teams with panel-heavy loops, a coordinator team and interviewer pools to protect.
What it is. Interview scheduling software for enterprise recruiting teams. ModernLoop connects to your ATS and your Google Calendar or Microsoft Outlook calendars, schedules group, panel, virtual and onsite interviews, balances interviewer load and trains new interviewers as it schedules.
Strengths
- Zero Click Scheduling sends interview requests and scheduling links automatically as candidates move stages in your ATS.
- The scheduling algorithm uses candidate availability, interviewer availability and interviewer load to propose multiple potential schedules.
- Scheduling Queues: recruiters request a schedule from a Chrome extension inside the ATS, and coordinators work every request from one queue.
- Interviewer Training adds trainees as shadows and reverse shadows according to their progress and availability.
- A branded Candidate Portal with the schedule, job details and one consistent Zoom or Google Meet link.
Limitations
- iCIMS is coming soon, and SAP SuccessFactors isn’t supported.
- No SMS or WhatsApp scheduling: candidate communication runs on email, booking links and the Candidate Portal.
- Pricing isn’t published. It’s tailored to your team and hiring volume.
- AI scheduling features aren’t generally available yet. Scheduling automation today runs on rules, ATS triggers and the scheduling algorithm.
- It isn’t an ATS, so you need one of the supported ATSs alongside it.
ATS support: Workday, Greenhouse, Lever, Ashby and SmartRecruiters; iCIMS coming soon.
2. Candidate.fyi
Type: dedicated interview scheduling. Best for: enterprise teams that want agent-led coordination across a wide range of ATSs, including UKG and Oracle.
What it is. In its own words, “AI Interview Scheduling that works with your ATS”: “candidate.fyi’s agents automate scheduling, coordination, and candidate communication,” layered on top of the ATS (candidate.fyi, checked October 22, 2026).
Strengths
- Its integrations page lists Workday, Greenhouse, Lever, iCIMS, SmartRecruiters, UKG Pro Recruiting, SAP SuccessFactors, Oracle Recruiting Cloud and Oracle Taleo, plus Microsoft GCC High calendars.
- Scheduling for “individuals, panels, and loops,” with separate products for coordination, interview intelligence and candidate experience.
- Its pricing page says there are no per-seat or per-interview fees and that implementation is included.
Limitations
- Ashby wasn’t on its integrations page when we checked.
- Pricing isn’t published. The pricing page says it’s custom, based on company size, open requisitions and ATS integration type.
- Coordination is run by AI agents, so your AI governance review needs to cover agents that book interviews and message candidates for you.
ATS support: the nine ATSs above; Ashby not listed on October 22, 2026.
3. GoodTime
Type: dedicated interview scheduling. Best for: enterprise teams that want scheduling, AI screening and SMS or WhatsApp messaging from one vendor.
What it is. Interview scheduling automation for enterprise talent teams, with AI agents for screening, scheduling and communications. GoodTime’s product pages describe its agent, Cori, as one that will “qualify, schedule, and move talent forward” (goodtime.io, checked October 22, 2026).
Strengths
- Zero-click interview scheduling and “Single-day, multi-day, and panel interviews.”
- Automated load balancing to “protect interviewer bandwidth.”
- Custom, skill-specific training paths, with trainees scheduled automatically to shadow or reverse-shadow.
- Branded self-scheduling, a candidate portal, and candidate messaging by SMS and WhatsApp.
Limitations
- Pricing isn’t published. GoodTime says it’s “based on the number of candidates annually, not the number of users,” so model your quote on real candidate volume.
- Scheduling and follow-ups are run by an AI agent, so plan for an AI governance review.
ATS support: Workday, Greenhouse, SuccessFactors, SmartRecruiters, Lever, iCIMS, Ashby and Jobvite.
4. Paradox
Type: conversational hiring for frontline roles. Best for: high-volume hourly hiring where candidates apply, screen and book interviews by text, especially on Workday or SAP SuccessFactors.
What it is. “Conversational hiring software that gets work done for you,” built around its AI assistant, Olivia (paradox.ai, checked October 22, 2026). Workday completed its acquisition of Paradox on October 1, 2025, and describes it as “a candidate experience agent that uses conversational AI to simplify every step of the job application journey, particularly for frontline industries.”
Strengths
- Candidates book interviews inside a chat or text conversation, with rescheduling and reminders.
- Its scheduling page covers panel and group interviews “with multiple calendars, rooms, days, and interviewers, in-person or virtual.”
- The assistant “can detect 100+ languages and automatically translate messages for candidates.”
Limitations
- Its pages center on frontline and hourly hiring. Interviewer load rules and interviewer training weren’t described on the pages we checked, so ask about them if your loops depend on them.
- Its integrations page names Workday and SAP SuccessFactors; we couldn’t find other ATSs listed by name.
- Pricing isn’t published. Quotes come through a demo request.
ATS support: Workday and SAP SuccessFactors by name, plus “direct integrations and our open API.”
5. Calendly
Type: general scheduling links. Best for: recruiter screens and one-on-one interviews, or smaller teams before panels get complex.
What it is. Calendly’s recruiting page covers interviews “from phone screens and hiring manager one-on-ones to group interviews” and says Calendly “integrates with your applicant tracking system (ATS), technical assessment platforms, and other recruiting tools” (calendly.com, checked October 22, 2026).
Strengths
- Quick to roll out, with self-serve plans and per-seat prices on its pricing page.
- The Calendly Extension shares scheduling links from inside your ATS, LinkedIn Recruiter or calendar.
Limitations
- Its Greenhouse integration “supports one-on-one event types only”: round robin, collective and multi-step interviews aren’t supported through it (Calendly help center, updated August 24, 2026).
- Everyone who hosts interviews needs a seat: “Seats are required for users to connect calendars and host Calendly meetings.”
ATS support: Greenhouse, through an integration built and managed by Greenhouse. The recruiting page also names Gem, Jazz HR and LinkedIn Recruiter.
6. Greenhouse scheduling
Type: built into your ATS. Best for: Greenhouse customers whose stages are mostly single interviews or simple panels.
What it is. The scheduling built into Greenhouse Recruiting. Greenhouse’s help center says automated scheduling “automatically searches the calendar for the best time slots,” and that interview limits “help prevent interviewer fatigue” (support.greenhouse.io, updated April 7, 2026).
Strengths
- Nothing extra to integrate: scheduling sits next to the candidate record.
- Greenhouse’s plans list interviewer limits and preferences, working hours, scheduling suggestions, scheduling links, candidate self-scheduling and scheduling automation rules.
- A May 2026 update added scheduling windows, self-schedule stage transition rules and a candidate calendar view for availability requests.
Limitations
- Only for Greenhouse customers.
- Stage transition rules can send self-schedule requests “only for stages with a single interview,” and for stages with several interviews, requests “must be sent individually from each interview” (Greenhouse help center, updated September 25, 2026).
- Pricing is quote-based.
ATS support: Greenhouse only. ModernLoop also integrates with Greenhouse, so you can add dedicated scheduling later without changing your ATS.
7. Ashby scheduling
Type: built into your ATS. Best for: Ashby customers, especially on the Enterprise plan, where advanced scheduling is included.
What it is. Ashby describes “Built-in scheduling workflows that eliminate manual coordination and keep candidates moving through your process” (ashbyhq.com, checked October 22, 2026).
Strengths
- Its scheduling page lists direct booking links, availability links, multi-day scheduling, interviewer pools, “daily and weekly interviewer limits” and native debriefs, and Ashby says “All Ashby plans come with powerful core scheduling features.”
- The Advanced Scheduling Automation add-on adds auto-scheduling that can “handle complex interview panels and loops,” automated interviewer training with shadows and reverse shadows, scheduling requests and calendar holds.
Limitations
- Only for Ashby customers.
- Advanced auto-scheduling and interviewer training sit in the add-on, which Plus customers buy “based on your current usage” and Enterprise customers get included.
ATS support: Ashby only. ModernLoop also integrates with Ashby.
Which interview scheduling tools work with your ATS?
The first filter for any enterprise team: does the tool support your ATS, and at what depth? Here is what each vendor lists.

Listed: named on the vendor’s integrations, recruiting or product pages on the date shown. Not listed: we couldn’t find it there on that date; some tools connect through an open API, middleware or the ATS’s own marketplace. n/a: the scheduling is part of that ATS. Depth varies, so ask to see your ATS in a demo.
Two follow-up questions for every vendor on your list: can a stage change in your ATS start scheduling without anyone touching it, and do scheduled interviews, interviewers and changes write back to the candidate record?
Enterprise criteria to check before you buy
Booking links are the easy part. What separates enterprise interview scheduling software is everything around the booking: who may interview, how load is shared, how trainees get in, and whether security will sign off. Both tables use only what vendors publish.
| Tool | Reports and certifications | SSO | SCIM provisioning |
|---|---|---|---|
| ModernLoop | SOC 2 Type 2; ISO 27001:2022; ISO 27701:2019 | Okta, Microsoft Entra ID, Google, Microsoft and SAML SSO | Listed |
| Candidate.fyi | SOC 2 Type II; pricing page says “GCC High compliant” | SSO and SAML support listed | Not listed |
| GoodTime | SOC 2 Type II (ISAE-3000), SOC 3, ISO 42001; HIPAA/HITECH Type 1 report on request | Okta and OneLogin listed | Not listed |

| Ashby | SOC 2 Type 2, audited annually | SAML and OIDC | Not listed on its security page |
| Tool | Panels and loops | Interviewer load | Interviewer training |
|---|---|---|---|
| ModernLoop | Group, panel, virtual and onsite interviews; proposes multiple complete schedules | Balances interviewer load to prevent burnout | Shadows and reverse shadows added automatically; progress tracked in Slack |
| Candidate.fyi | “individuals, panels, and loops” | Not described on the pages we checked | Coordination product covers “scheduling, comms, and training” |
| GoodTime | Single-day, multi-day and panel interviews | Automated load balancing | Training paths; automatic shadow and reverse-shadow scheduling |
| Paradox | Panel and group interviews across calendars, rooms and days | Not described on the pages we checked | Not described on the pages we checked |
| Calendly | Group interviews; Greenhouse integration is one-on-one only | Round robin event types (not through the Greenhouse integration) | Not described on its recruiting page |
| Greenhouse | Automated scheduling; one self-schedule request per interview in multi-interview stages | Interview limits | Not described on the pages we checked |
| Ashby | Multi-day scheduling; complex panels and loops with the add-on | Daily and weekly interviewer limits | Shadows and reverse shadows with the add-on |
Three more questions to put to every vendor in writing:
- Data residency. Where is candidate and interviewer data stored and processed, and can you choose a region?
- Implementation. A dated plan for your ATS, calendars and SSO: who does the work, and what your team owes.
- Reporting. Can you see scheduling backlogs, reschedules and interviewer load without exporting to a spreadsheet?
Best interview scheduling software by use case

| Agent-led coordination on UKG, Oracle or SAP SuccessFactors | Candidate.fyi | Lists those ATSs alongside Workday, Greenhouse, Lever, iCIMS and SmartRecruiters |
| Frontline, high-volume hiring by text on Workday or SAP SuccessFactors | Paradox | Conversational apply, screening and scheduling; part of Workday since October 2025 |
| One-on-one screens with a simple booking link | Calendly | Self-serve, per-seat plans and an extension that works inside the ATS |

| Ashby customers who want scheduling in the same system | Ashby scheduling | Core scheduling on all plans; advanced auto-scheduling and training with the add-on or on Enterprise |
Where ModernLoop fits
If your hardest problem is the onsite loop (five interviewers, three time zones, one trainee, and a candidate who needs to know where to be), that is the job ModernLoop is built for. Interview Scheduling proposes complete schedules that respect interviewer load, Zero Click Scheduling starts the request when the candidate moves stage, and Interviewer Training adds shadows as it goes. Security teams get a SOC 2 Type 2 report, ISO 27001 and ISO 27701 certificates, SSO and SCIM; see Security and Integrations.

Schedule options in ModernLoop: the scheduling algorithm uses candidate availability, interviewer availability and interviewer load to propose multiple potential schedules.
