GuideRecruiting software pricing: what ATS, scheduling and AI tools cost
Contents

Short answer
Most enterprise recruiting software is quote-based. ATS vendors price by company size, hiring volume and modules; interview scheduling tools by seats, candidates or hiring volume; AI tools by usage or as add-ons. Few publish enterprise prices, so budget from total cost of ownership: licenses, implementation, integrations and the people time around them.
How recruiting software is priced
Six pricing models cover almost every ATS, scheduling and AI tool on the market. Many vendors combine two: a platform fee plus usage, say, or company-size pricing with paid add-ons. Knowing the model tells you what will make next year’s invoice go up.
| Model | How it works | Published example | Watch for |
|---|---|---|---|
| Per seat | You pay for each user who logs in or hosts interviews | Calendly prices its self-serve plans per seat | Interviewers and hiring managers who need access |
| Per employee | Price scales with company headcount | Ashby says its pricing “is based on company size, usage, and commitment” | Paying for headcount growth in a hiring freeze |
| Per requisition or hire | Price scales with open roles or hires | Candidate.fyi lists “current open requisitions” as a pricing factor | A hiring plan that doubles mid-contract |
| Per candidate volume | Price scales with candidates processed each year | GoodTime prices on “the number of candidates annually, not the number of users” | Applicant surges and high-volume roles |
| Platform fee plus modules | A base plan, with tiers or add-ons for more features | Greenhouse’s Core, Plus and Pro plans; Ashby’s paid add-ons | Which features sit in which tier |
| Usage or AI credits | Metered units such as messages, lookups or AI actions | Ashby lists extra candidate texts at $90 per 1,000 | Included volume, overage rates and caps |
What drives the cost of an ATS and recruiting software
When a vendor says pricing is “tailored,” these are the inputs. Greenhouse, for one, says its cost “is influenced by the plan you choose (Core, Plus or Pro), your hiring volume and organizational complexity, and the features and capabilities required to support your workflows.”
- Company size and hiring volume. Employees, open requisitions, candidates or interviews a year, depending on the model.
- Tier and modules. CRM, onboarding, advanced analytics, scheduling automation, texting and AI features often sit in higher tiers or cost extra.
- Security and administration. Enterprise controls tend to live in top tiers: Greenhouse lists its audit log and developer sandbox in the Pro plan.
- Integrations. HRIS, background checks, assessments and calendars; some vendors include them, others charge per connector.
- Commitment. Contract length and payment terms. Ashby, for example, advertises a “10% discount for annual commitments” on its Foundations plan.
- Implementation and support. Onboarding fees, dedicated support and premium service levels.
ATS pricing: what Greenhouse, Workday, Lever, iCIMS, Ashby and SmartRecruiters publish
Most enterprise ATS vendors quote privately. Here is exactly what each one published on its own site when we checked. Where a vendor publishes nothing, we say so rather than guess.
| Vendor | What the pricing page shows | Pricing basis, in the vendor’s words |
|---|---|---|
| Greenhouse | Core, Plus and Pro plans with feature lists; no prices. Quote-based (per Greenhouse pricing page). | “Greenhouse pricing is customized based on your company’s hiring needs” |
| Workday Recruiting | We found no pricing page on workday.com; the talent acquisition page offers “Contact Sales” and “Request a Demo.” Quote-based. | Not published |
| Lever | A custom-quote form; no prices. Quote-based (per Lever pricing page). | Pricing is “available upon request” and “tailored based on your organization’s size and hiring needs” |
| iCIMS | icims.com/pricing/ returned “Page not found”; the site offers “Request demo” and “Contact us.” Quote-based. | Not published |
| Ashby | Foundations plan (up to 100 employees) priced on the page by company size, from $300 to $900 a month on monthly terms; Plus and Enterprise are “Get in Touch” | “based on company size, usage, and commitment” |
| SmartRecruiters | Essential plan “Starting at $14,995” (billing period not stated); Professional, High Volume and Complete plans are “Request Pricing” | Plan, plus volume (its High Volume plan adds “Increased SMS + Job Distribution Volume”) |
For a sense of what buyers actually pay, Vendr, which helps companies buy software, publishes the median annual contract value in its purchase data for each vendor. These figures mix company sizes, modules and contract terms, so use them to sanity-check a quote, not as a price list.
| ATS | Median a year | Low to high in Vendr’s data | Purchases in sample |
|---|---|---|---|
| Greenhouse | $26,553 | $10,211 to $74,169 | 885 |
| Lever | $15,492 | $6,718 to $51,648 | 320 |
| Ashby | $20,878 | $9,012 to $110,664 | 167 |
| SmartRecruiters | $33,507 | $15,250 to $51,561 | Not stated |
| iCIMS | $9,771 | $2,152 to $64,713 | Not stated |
Workday isn’t in this table because Vendr’s Workday figure covers all Workday products, not Workday Recruiting alone.
Interview scheduling software pricing
Scheduling tools use the widest mix of models, which makes side-by-side quotes hard to compare. Here is what each vendor says about how it prices.
| Tool | Pricing basis | Prices published? |
|---|---|---|
| ModernLoop | ModernLoop pricing is tailored to your team and hiring volume. Talk to sales for a quote. | No |
| GoodTime | “Pricing is based on the number of candidates annually, not the number of users”; “All integrations, including deep two-way sync with your ATS, are included” | No; custom proposal |
| Candidate.fyi | Custom annual subscription based on “company size (full-time employees), current open requisitions, and ATS integration type”; no per-seat or per-interview fees; implementation included | No |
| Calendly | Self-serve plans priced per seat; Enterprise “Starts at 50 seats” | Yes, for self-serve plans |
| Scheduling in your ATS | Greenhouse lists scheduling features in its plans; Ashby includes core scheduling on all plans and sells its Advanced Scheduling Automation add-on to Plus customers “based on your current usage” (included on Enterprise) | Ashby Foundations only |
The model matters as much as the number. A per-seat tool gets expensive when every interviewer needs a seat; a per-candidate tool gets expensive in a high-volume year; a per-employee tool costs the same whether you hire 50 people or 500. Match the model to the way your hiring actually grows.
How to compare quotes built on different pricing models
A per-seat quote, a per-candidate quote and a company-size quote can’t be compared as they arrive. Put them on one footing first:
- Price each quote at your real volume. This year’s seats, candidates, requisitions and interviews, not the vendor’s example customer.
- Run two more scenarios. Hiring up 50% and hiring down 30%. The cheapest model at today’s volume isn’t always the cheapest once volume moves.
- Convert each scenario to cost per hire and cost per interview, using the worksheet below.
- Add back what each quote leaves out: implementation, integrations, add-ons and usage you’re certain to need.
Then compare what you’re buying, not just the line items: coordinator hours, candidate experience and interviewer load.
AI recruiting tool pricing
AI features are priced in three different ways today, sometimes by the same vendor:
- Included in the plan. Greenhouse lists its AI Notetaker among the features of its Core plan. GoodTime says its AI agent, Cori, “isn’t a separate product or add-on.”
- Tier-gated. SmartRecruiters includes its AI-powered Hiring Agent from the Professional plan up, which is quote-based.
- Paid add-on or usage. Ashby lists its AI Notetaker as a paid add-on on every plan, and its AI Auto-Scheduler sits in the Advanced Scheduling add-on.
Conversational AI platforms for high-volume hiring tend to quote privately: Paradox’s pricing URL redirected to its homepage when we checked. Before you sign, ask what the billing unit is (interview, conversation, message or candidate), how much volume is included, what overage costs, and whether AI features need a higher tier.
Hidden costs of recruiting software
The license is the number everyone negotiates. These are the costs that show up later:
- Implementation. Vendor or partner fees, data migration, and your own team’s project time.
- Integrations. Connectors, middleware, and the time to maintain them when either side changes.
- Coordinator and recruiter time. Every manual step the software leaves behind: copying details between systems, chasing availability, rebalancing interviewers by hand.
- Change management. Training recruiters, coordinators, hiring managers and interviewers, and the dip in productivity while they learn.
- Overlap. Paying for the old tool and the new one during the switch.
- Renewals. Uplifts, minimums and auto-renewal notice periods.
Manual work is the cost most budgets miss, because it’s spread across many people in small pieces. Measure it before you buy, so you can tell afterward whether the new tool removed the work or just moved it.
Total cost of ownership worksheet
Fill one column per finalist with the same assumptions. Annualize everything, and use a loaded hourly cost (salary plus benefits and overhead) for people time.
| Line | How to calculate it | Your number |
|---|---|---|
| A. License | Annual subscription, including add-ons and usage you’ll certainly use | {$} |
| B. Implementation | (Vendor fees + partner fees + data migration) ÷ contract years | {$} |
| C. Internal project time | Project hours × loaded hourly cost ÷ contract years | {$} |
| D. Integrations | Connector and middleware fees + maintenance hours × loaded hourly cost | {$} |
| E. Usage overages | Expected usage above the included volume × overage rate | {$} |
| F. Training and change | Training hours for admins, recruiters, coordinators and interviewers × loaded hourly cost | {$} |
| G. Ongoing admin | Admin hours a month × 12 × loaded hourly cost | {$} |
| H. Scheduling time | Interviews a year × coordinator minutes per interview ÷ 60 × loaded hourly cost | {$} |
| Total cost of ownership | A + B + C + D + E + F + G + H | {$} |
| Cost per hire | Total ÷ hires a year | {$} |
Line H is the one vendors rarely put in a proposal and buyers rarely measure. Time a week of real scheduling work before you buy, and ask each finalist to show the same interviews scheduled in their product.
Questions to ask in procurement
Send these to every finalist in writing, and compare the answers side by side.
Negotiating recruiting software contracts
A few levers work with most vendors, whatever the pricing model:
- Price protection. A cap on renewal increases, written into the order form rather than promised on a call.
- Ramped pricing. For a phased rollout, pay for the volume you’ll actually reach in each year.
- Commitment for a lower rate. Longer terms or annual prepayment, if your hiring plan is stable enough to commit.
- Implementation credits. Services included, or credited against the first year’s license.
- Clean exit terms. Data export in a usable format and a clear end-of-contract process, agreed before you need them.
How ModernLoop is priced
ModernLoop pricing is tailored to your team and hiring volume. Talk to sales for a quote.
To make that conversation quick, bring four things: your ATS, roughly how many interviews you schedule a month, how many coordinators and recruiters schedule them, and the interview types that take the most effort. If you’re still comparing tools, our guide to the best interview scheduling software covers the options, and Integrations and Security cover the questions your IT team will ask.
